I’m Kate Fossman, Registered Dietitian and I have spent over a decade helping people navigate their new health diagnoses. In 2020 I was recognized as my state’s Young Dietitian of the Year.

My approach is built on collaboration with evidence-based experience. My clients appreciate my calm, practical style and how I simplify nutrition into clear, manageable next steps. Your Simple Guide to Out-of-Network Dietitian Reimbursement (Using a Superbill)



Going to a "cash-pay" or out-of-network provider doesn't always mean you have to foot the entire bill yourself. Many insurance plans will reimburse you for a portion of your nutrition visits.

Here is a quick, painless guide on how the process works and how you can get your money back.

The 4-Step Reimbursement Process

1. Book & Pay for Your Visit

You will pay for your appointment at the time of service; it will be charged to the card on file (you can use a debit card, credit card, or HSA/FSA card).

2. Request Your "Superbill"

At the end of the month (or after your appointment), I will provide you with a document called a Superbill.

What is a Superbill?

Think of it as a gold-standard receipt. It’s an itemized form that contains all the official details your insurance company needs, including medical diagnosis codes (ICD-10) and treatment codes (CPT).

3. Submit the Superbill to Your Insurance

Log into your health insurance online portal or app, look for the "Submit a Claim" section, and upload your Superbill. You can also mail it in if you prefer the scenic route.

4. Get Reimbursed!

Your insurance company will process the claim. If your visit is covered under your "out-of-network benefits," they will mail you a check or deposit the reimbursement directly into your bank account.

The Dietitian Twist

Insurance companies can be a little picky about nutrition counseling (officially called Medical Nutrition Therapy). They usually want to know two things before they reimburse you: who sent you (a referral) and the medical reason why you're going (the diagnosis code). Because dietitians provide medical therapy but don't diagnose medical conditions, that code often needs to come from your doctor.

Pro-Tips: What to Ask Your Insurance

To avoid any surprises, we highly recommend calling your insurance company before your first appointment. You can use this quick script:

  • What to say:"I want to see an out-of-network Registered Dietitian for Medical Nutrition Therapy. Do I have out-of-network benefits for CPT codes 97802 and 97803?"

  • Ask about a referral:"Do I need a formal referral or prescription from my Primary Care Physician (PCP) to get reimbursed?" * Ask about diagnosis restrictions:"Does my plan cover general preventative dietary counseling (code Z71.3), or do I need a specific medical diagnosis code (like diabetes, high cholesterol, or an eating disorder) for the claim to be approved?"

  • Ask about your deductible:"Do I have a separate out-of-network deductible I need to meet first before I get reimbursed?"

  • Ask about the rate & limits:"What percentage of the fee do you cover once the deductible is met? Is there a limit on how many nutrition sessions I can have per year?"

If you don't want to deal with paperwork or insurance portals, there are secure, third-party apps like Reimbursify. You simply upload a photo of your Superbill, and they handle the entire submission and follow-up process for a tiny fee.
